What estate operators say after working with us.

We let the accounts stand as they are — no editing for tone, no selections that remove the hesitations. If an estate manager had a question before they engaged us, it is probably reflected in what they say here.

MH

Mohd Hafizi bin Othman

Estate Manager · Selangor

"I was initially uncertain whether this kind of work would suit our estate — we are not a large group and I did not want to commit to something we could not use. The Process Review settled that. The adviser spent a full day with us, read our records, and came back with a brief that was honest about what would help and what would not. We proceeded to the pilot and it ran as described."

April 2025 · Estate Process Review + Pilot

Roslinda bt. Abd Hamid

COO · Pahang estate group

"Our concern from the start was whether AI-drafted handover notes would be acceptable for MPOB documentation purposes. Mahkota addressed this directly — the templates they built are structured to align with MPOB formats, and every note goes through a supervisor before it is filed. It has been six months since the pilot closed and the process is still running as intended. The quarterly audit brief is useful for board reporting."

"The training was done in Bahasa Malaysia which helped a lot. My staff could follow the sessions without difficulty and understood what the system would produce and why. After the first two weeks of the pilot we had fewer questions and the handover notes were more consistent than they had been previously. I appreciated that the adviser was reachable when something did not look right in week three."

HR Officer · Johor

"I was part of the initial review meeting. The adviser asked questions I did not expect — about how our records were filed, who prepared them, and how they were used downstream. It was not a technology-first conversation, which I appreciated. The closing brief was written in a way that was easy for non-technical staff to read. Two points were marked as not suitable for AI at this stage — that level of candour is not common."

"We manage four estates. After the pilot at the main estate we enrolled two others into the retainer programme. The quarterly audit brief gives me something concrete for board meetings — not just a statement that we are using AI, but an assessment of whether the outputs are accurate and whether anything needs adjustment. The yearly summary was useful for our RSPO documentation cycle."

"Supplier email drafting was the part I was most sceptical about. It felt like a small problem that did not need a technology solution. After the pilot, I would say it is actually one of the clearer wins — the drafts require less back-and-forth editing than before and the language is more consistent. I still review every one before it goes out, but the starting point is better."

Three estate engagements in detail

Case Study 01

Single estate in Selangor — Records & Reporting Pilot

Challenge

The estate manager was spending three to four hours each week formatting harvest summaries from field records for monthly MPOB reporting. Cross-shift handover notes were inconsistently structured, leading to recurring questions between shifts about what had been recorded the previous day.

Solution

Following a Process Review, Mahkota deployed a read-only AI assist that reads digitised harvest records and generates structured summaries aligned with MPOB monthly format. A parallel template was built for cross-shift handover notes. Both run through a named supervisor for review before filing.

Results

Weekly harvest summary time reduced from approximately three and a half hours to under one hour. Handover note consistency improved visibly within the second week of the pilot. The estate enrolled in the Stewardship Retainer at close of pilot to maintain oversight.

Timeline: 8 weeks (review + pilot)

"The Process Review brief was more specific than I expected. It told us exactly which records to digitise first and which tasks to pilot. That made the six weeks much more straightforward." — Estate Manager

Case Study 02

Four-estate group in Pahang — Stewardship Retainer

Challenge

The group's COO needed a way to confirm, for the board and for RSPO purposes, that the AI assists operating across four estates were producing accurate outputs and not drifting from regulatory requirements. There was no internal capacity to conduct this review quarterly.

Solution

Mahkota's Stewardship Retainer was structured to cover all four estates. Each quarter, output samples from each estate are reviewed, a consolidated brief is written for the COO, and MPOB/RSPO/DOA circular updates are checked against active templates.

Results

The quarterly brief has been used directly in two board meetings. One template update was required after a DOA circular change in Q1 2025 — identified during the Mahkota quarterly review and corrected before it affected filed documentation. The yearly summary supported the group's RSPO recertification submission in April 2025.

Timeline: Ongoing · 4 estates

"The retainer pays for itself in board preparation time alone. The quarterly brief gives us a documented basis for saying the AI assists are working within appropriate parameters." — COO

Case Study 03

Medium estate in Perak — Process Review only

Challenge

The estate manager had read about AI in the sector and was receiving approaches from several technology providers. She was not certain whether any of the proposals were appropriate for her estate's current record-keeping standard and did not want to commit to a pilot without a clearer picture.

Solution

The Estate Process Review was commissioned as a standalone engagement with no obligation to proceed further. Mahkota visited the estate, reviewed records, and produced the closing brief. The brief identified two processes suitable for AI assistance and two that were not, given the current record quality.

Results

The estate decided not to proceed to a pilot at that time, instead using the brief to improve their records digitisation for six months first. They are in discussions with Mahkota about scheduling the pilot once their records are in better shape. The Process Review brief has been kept for that purpose.

Timeline: 2 weeks · Review only

"The brief told me clearly that we were not ready for a pilot yet. That was exactly the kind of honest assessment I needed before committing further." — Estate Manager
