What does the Estate Process Review actually involve?
We arrange a visit to the estate — usually one full day — and spend time with the estate manager, mill supervisor, and HR officer. We read three months of harvest records, supplier correspondence, and shift handover notes. At the close we write a plain-language brief that sets out which AI assists would be worth exploring and which would not, given your current records quality and staffing.
Do my records need to be fully digitised before we can begin?
Not entirely. The Estate Process Review can begin with partially digitised records — in fact, one of its outputs is a practical assessment of what digitisation is worth doing first. The Records & Reporting Pilot does require that harvest and supplier records are available in digital form, typically Excel or a simple database.
Will the AI system have direct access to our estate data?
During the pilot, the AI assist reads digitised records in a read-only capacity. It does not write to your source files or send any communications on your behalf. All draft outputs — summaries, handover notes, supplier email drafts — are held in a separate folder for your staff to review before any action is taken.
How does this work with MPOB and DOA requirements?
We design every engagement with MPOB reporting formats and DOA circulars in mind. The templates used in the pilot are structured to align with existing regulatory documentation, so that AI-generated summaries can slot into your normal reporting workflow rather than creating a parallel one.
How long does the Records & Reporting Pilot take?
The pilot runs for six weeks. The first week is setup and bilingual training. Weeks two through five are supervised operation, where we remain available to assist your team. In week six we write the close-out report and hand over all templates and documentation.
Who is the Stewardship Retainer designed for?
The retainer suits estate groups that have completed the pilot and whose teams are already working with AI-drafted outputs day-to-day. It is particularly suited to organisations managing between two and fifteen estates where the chief operations officer wants periodic assurance that outputs remain accurate and aligned with MPOB, RSPO, and DOA standards.
