Mahkota was founded on a single conviction: the people who manage Malaysian estates know their land well, and any technology we bring in must serve their judgement rather than replace it.

Our Story

Started in the estate office, not the technology lab.

Mahkota began when two of our founding advisers spent a season working in estate administration in Selangor and Pahang. They noticed that estate managers were spending a substantial part of each week on tasks that did not require their expertise — writing routine supplier acknowledgement emails, formatting shift handover notes, and tabulating harvest figures that had already been recorded by hand.

At the same time, they saw that the records those managers kept were detailed and disciplined. The data was there. The knowledge was there. What was missing was a careful way to connect the two.

We registered Mahkota in Shah Alam in 2022. The name refers to the crown of the oil palm — the growing point, where each new frond begins. It felt right for work that is, at its core, about helping estates grow more steadily.

We do not sell software. We do not deploy systems and walk away. What we offer is a structured engagement in which we read your records alongside you, assess where AI can genuinely assist, and put in place a supervised arrangement in which humans remain responsible for every decision that matters.

MPOB reporting, DOA circular requirements, and RSPO sustainability standards are not optional considerations for our clients — they are the operating environment. Every engagement we design is built around them.

We measure our own success by whether your estate manager still feels like the estate manager six months after we have been involved. If they do, we have done our job well.

MPOB-Aligned Templates

All AI-drafted summaries and reports are structured to align with MPOB documentation requirements so they slot directly into existing estate workflows.

Read-Only Data Access

During the pilot phase, the AI assist is granted read-only access to digitised records. No source data is altered, and all drafts are held separately for human review.

Bilingual Staff Training

Training sessions are conducted in English and Bahasa Malaysia to ensure that every staff member — from field supervisors to the estate office — understands what the AI assist does and does not do.

Quarterly Output Review

For Stewardship Retainer clients, we sample a cross-section of AI-generated outputs each quarter to verify accuracy and relevance before writing the director-level brief.

RSPO & DOA Awareness

Sustainability commitments and DOA circulars are reviewed at each retainer quarter so that templates and processes remain aligned with current regulatory expectations.

Data Handling Protocol

Estate records shared with Mahkota are held under a written data handling protocol, accessed only by named Mahkota staff, and not retained beyond the engagement period without explicit written consent.

AI integration for Malaysian agricultural operations

The Malaysian estate sector operates within a structured regulatory environment. MPOB licensing, DOA cultivation permits, and RSPO certification each carry their own documentation requirements — and estate managers routinely spend time on paperwork that, while necessary, does not directly require their operational expertise.

Mahkota's work begins with reading those records carefully. Our Estate Process Review is designed to give estate management a clear picture of which administrative tasks are good candidates for AI assistance and which are not. We do not apply a standard template across all estates; field conditions, record-keeping practices, and staffing vary too much for that to be useful.

Our Records & Reporting Pilot is a time-bound, supervised deployment. At the end of six weeks, the estate has a set of working templates, a trained team, and a plain-language close-out report. The engagement does not extend unless the estate director decides it should.

For groups managing multiple estates, the Estate Stewardship Retainer offers ongoing advisory support — sampling outputs, staying current with MPOB and RSPO circulars, and providing the board-level documentation that larger organisations require. The retainer is deliberately sized for thoughtful chief operations officers, not for organisations that simply want to say they are using AI.
